Configure Project Schedule Settings

Background

Configuring project schedule settings standardizes calendar baselines and maps resources to concrete timelines using the project-level Scheduling tool. This centralized configuration integrates your directory companies and placeholder assignments from early planning to active execution. Managing distinct workday calendars and regional presets ensures precise, automated conflict resolution and duration calculations across all project timelines.

Things to Consider

  • Required User Permissions:

    • Admin' level permissions on the project's Scheduling tool to access full configuration features and look-ahead deletions

  • Additional Information: Show/Hide Details

    • Calendar Read-Only State: Imported calendars and user-defined calendars are read-only for non-admin users. Click Save As to clone an existing calendar structure if you need to modify its default parameters.

    • Asynchronous Calendar Saving: Calendar modifications do not save automatically and require manual confirmation. Click Save to trigger the background update, and wait for the loading animation wheel to complete before navigating away from the page.

    • Holiday Conflict Resolution: Applying a regional preset that overlaps with a custom holiday triggers a system conflict prompt. Review the on-screen confirmation prompt to resolve date overlaps before proceeding.

    • Global Administrative Reset: Clearing all active schedules and resetting parameters to system defaults permanently removes existing look-aheads and parent timeline structures. Restrict this action to administrative personnel to prevent accidental data loss

Prerequisites

Populate companies within the project-level Directory tool before executing directory sync functions.

Steps

Setup and Connection: Show/Hide Details

  1. Navigate to the project's Schedule tool.

  2. Click the Configure Settings Icon Settings Gear Grey3 icon.

  3. Project Information: In the Project Information section, verify you are in the correct project by viewing the Project Name, Project ID, Start Date and the Finish Date.

  4. Sync the Directory: Select 'Overall Project' from the drop-down menu and navigate to the Assign Companies section.

  5. Click Fetch Companies to pull existing companies from the Directory.

  6. Filter & Configure Assigned Companies:

    • Enter a name in the section's search bar to filter your populated company list.

    • Bulk Action: Click the checkbox at the top of the company list to select multiple rows at once, then update their status in bulk.

    • Individual Controls: Click the Status cell to open a drop-down menu and select Active or Inactive. Click the small rectangular color tile in the color column to open the RGB color picker and map a distinct color to the company profile.

  7. Click Save.

Company Placeholders: Show/Hide Details

What are Company Placeholders?

Placeholders act as temporary, generic profiles (e.g., "Electrical Subcontractor") used to map out tasks in your timeline before a specific vendor has been officially awarded the contract or added to the Project Directory. Once the permanent company is selected, you can link the placeholder directly to that active Directory company to update the schedule automatically.

  1. Create a Placeholder: Scroll to the Company Placeholders section and click Add Placeholder to generate a blank configuration row.

  2. Define Row Columns & Map to Directory:

    • Status Column: Click the Status cell to open the drop-down menu for setting Active/Inactive status.

    • Color Column: Click the small rectangular color tile to open the RGB color picker and select a palette choice.

    • Activity Account Column: This column shows the exact number of schedule activities currently assigned to that company or placeholder. Checking this number ensures you don't accidentally delete an active placeholder that is already tied to tasks in your timeline.

  3. Assign:

    • Click Assign at the end of the row, select your source placeholder name from the Company Placeholder drop-down menu, choose the replacement company from the Project Directory Company drop-down, and click Assign to replace all of this placeholder's activity assignments with the new company assignment.

    • You can also click the Delete icon on any unassigned placeholder row to remove it.

  4. Click Save.

Calendar and Working Hours

You can build a project calendar from scratch by clicking Add New Calendar, or select an existing global baseline from your Saved Calendars list. Either way, you can fully customize the work weeks, shift hours, and durations to fit this specific project.

Note on Locked Calendars:

  • Global Calendars Are View Only: Global calendars cannot be edited. Duplicate the calendar if you want to edit this calendar.

  • Imported Calendars Are View Only: Imported calendars cannot be edited. Duplicate the calendar if you want to edit this calendar.

  1. Select or Create Your Base: Click the Calendars tab under the Overall Project view. Choose your path:

    • To start fresh: Click Add New Calendar.

    • To modify/clone an existing layout: Locate it under Saved Calendars and select Duplicate calendar.

    • (Optional Maintenance): You can also select Archive calendar here to remove unused tracking layouts.

  2. Configure the Standard Work Week: Under the Standard Work Week section, establish your shifts for each day (Sunday–Saturday):

    • Set Shift Windows: Input your active hours using the [Time] to [Time] fields. The multiple "to" slots allow you to configure split shifts or designated lunch blocks.

    • Adjust Shift Hours: Use the plus (+) and minus (-) icons next to the timeline slots to easily increase or decrease hours.

    • Bulk Copy Schedule: Click the copy icon next to a completed day to instantly duplicate its entire shift schedule to other days of the week.

    • Note: Click Reset Work Week at any time to wipe your manual changes and revert to default.

  3. Review Calculated Durations: Scroll to the Calculated Durations section.

    • This area is completely automated and read-only, displaying the totals for your Hours per day, Days per week, and Days per month based on your standard work week.

    • How it works: The system uses these values behind the scenes to accurately convert task durations into working hours whenever non-hour units (like Days, Weeks, or Months) are used in your schedule.

  4. Manage Exception Days: Scroll to the Exception Days section and click Add Exception Days to log holidays or weather closures.
    Tip:
    You can use the search bar within this section to filter exceptions by name, type, or date range, or click Reset Filters to clear your search view.

  5. Isolate Your Timeline: Select Project Schedule or Look Ahead Schedule from the primary settings drop-down menu to isolate parameters for a single timeline tab.

    • Adjust Timeline & Base Calendar: Click the Schedule Settings tab, modify the Start Date field to establish a unique starting timeline for this specific tab, and select a base calendar option from the Default Calendar drop-down menu.

    • Verify Rules: Click the View Calendar icon to verify standard workweeks and holiday rules in the slideout panel.

Administrative Resets: Show/Hide Details

  1. In the Schedule Settings drop-down menu, select the desired Project Schedule or Lookahead Schedule to reset.

  2. Click Reset to Original Empty State located directly on that specific schedule configuration card.

  3. Confirm Start Over: A warning modal will pop up stating: "Are you sure you want to reset this schedule to its original empty state? This action cannot be undone." Click Confirm to execute the wipe.
