About Portfolio Programs (Closed Beta)
What is a Portfolio Program?
Portfolio Programs allows closed beta customers to group related projects under customizable organizational layers and view their entire portfolio as an interactive tree. This portfolio hierarchy then flows into the Capital Planning tool so that you can leverage it to calculate budget summaries at different levels. Setup is fully self service, requiring no external implementation consultants.
Key Terms
Term | What it Means |
|---|---|
Portfolio Hierarchy | The overall shape of your structure, including how many levels you have and what each one is called. You define this once. |
Level | A tier within your portfolio hierarchy. You can create up to five levels and customize the name of each level. Levels are created in the Company Admin tool. |
Program | A specific category or grouping created within a Level. Programs are created in the Procore Home tool as the individual entries within that tier. |
Project | Your existing Procore projects. Projects always sit at the bottom of the hierarchy, directly underneath your lowest level of programs. |
Considerations
Organizations can create up to five program levels, though most need only two or three.
Projects always sit at the bottom, underneath the lowest level of programs.
A project belongs to one program. If you need to slice projects other ways, keep using tags and custom fields that still work and are not affected.
Each level name must be unique.
Levels can be renamed at any time without affecting project data.
Levels can only be reordered before projects are assigned.
You can add a new level later, but it gets added at the bottom.
Procore's legacy "Programs" project tag remains active and unchanged. Portfolio Programs is the new multi-level structural hierarchy and appears in the interface as the Portfolio Program field. Both fields coexist during closed beta.
Prerequisite: Plan Your Structure
Before configuring in Procore, outline your hierarchy on paper or reference your external reporting spreadsheets. The column headers in your existing capital tracking sheets often represent your natural levels.
Step 1: Define Your Hierarchy
Navigate to the company's Admin tool.
Under 'Project Settings', select Portfolio Hierarchy.
Enter the name for Level 1 (e.g. Region).
Click + Add Level and enter the name for Level 2.
Continue for all required tiers up to 5.
Click Save.
Step 2: Create Your Programs
Navigate to the Procore Home (Portfolio) tool.
Select the Portfolio tab.
In the Portfolio Hub Card, select the Hierarchy Tree icon.
The setup wizard opens automatically if no programs exist.
Add Level 1 Programs: Type each program name and press Enter.
Add Level 2 Programs: Input child program names and select their parent Level 1 container from the dropdown.
Tip!Select Add each Campus under every Region if your portfolio structure is symmetrical.
Repeat for any deeper levels, then click Finish.
