Create and Manage Saved Views for Photos

Background

You can create, view, edit, and delete Saved Views in the Photos tool. Saved views are persistent, auto-populating photo collections defined by saved filter criteria. Instead of manually curating static albums, you can save custom filter sets once, allowing matching photos—including new uploads—to populate automatically in real time. Photos remain in their original albums and are never copied or moved. Automatically organize photos using filter criteria—such as location, trade, who took or uploaded the photo, date taken or uploaded, and AI-generated tags — so you can quickly find the exact images you need and stop spending time on manual curation.

Saved Views are web-only. When multiple filters are selected, an item must meet the criteria for all filters to appear in the view. When multiple values in a single filter are selected, an item must meet the criteria for any of those values to appear in the view. There are three (3) types of saved views:

  • Personal Saved Views. These are only visible to the user (creator) who creates them. Any user with access to the Photos tool can create a personal view.

  • Project Saved Views. These are visible to all users with access to the Photos tool in the project where the view is created. Users need 'Admin' level permissions to the Photos tool to create or edit project views.

  • Company Saved Views. These are automatically available to all users with access to the Photos tool across all projects within your company's Procore account. Users need 'Admin' level permissions to the Company Admin tool to create company views.

Note: A Personal Saved View hides the view itself from other users. It does not restrict access to the photos within it — those photos remain visible in Timeline, Map, Albums, or other Saved Views based on their own photo- or album-level privacy settings.. The creator can always edit and delete their own view without needing Admin permissions, regardless of visibility level.

Things to Consider

  • Required User Permissions:

    • To set visibility level:

      Show/Hide

      • Choose visibility level (Personal / Project / Company) at creation time:

        • 'Standard' or higher level permissions on the project's Photos tool.

        • 'Read Only' level permissions on the project's Photos tool. with the "Manage Project Saved Views" granular permission enabled on the permissions template.
Note: This action is restricted to the levels the user is permitted to create. Once created, visibility cannot be changed.

    • To create:

      Show/Hide

      • Personal Saved Views: Any user with 'Read Only' or higher level permissions on the project's Photos tool. The create action is unrestricted. Personal Saved View is visible as a saved filter over data to their creator.

      • Project Saved Views:

        • 'Standard' or higher level permissions on the project's Photos tool.

        • 'Read Only' level permissions on the project's Photos tool with the "Manage Project Saved Views" granular permission enabled on the permissions template.

      • Company Saved Views: 'Admin' level permissions on the project's Photos tool.

      • Save current filters as a new Saved View ("Save As New"):

        • 'Standard' or higher level permissions on the project's Photos tool.

        • For Project Saved Views, 'Read Only' level permissions on the project's Photos tool with the "Manage Project Saved Views" granular permission enabled on the permissions template.
Note: This action is available from Timeline View, Map View, and the Saved Views tab when filters are active.

    • To View:

      Show/Hide

      • Personal Saved Views: As a creator, any user with 'Read Only' or higher level permissions on the project's Photos tool can view their own saved views.
Note: Personal Saved Views are only visible to their creator. Admins do not see other users' Personal Saved Views.

      • Project Saved Views: 'Read Only' or higher level permissions on the project's Photos tool. This saved view is visible to anyone with access to the project's Photos tool.

      • Company Saved Views: 'Read Only' or higher level permissions on the project's Photos tool. This saved view is visible across all projects in the company.

      • View photos within a Saved View: 'Read Only' or higher level permissions on the project's Photos tool. This action inherits photo-level privacy. Private photos are filtered from the result set for users without "View Private Photos" granular permission — even inside a Project or Company Saved View.

      • Search for and view Project and Company Saved Views created by others: 'Read Only' or higher level permissions on the project's Photos tool.
Note: Personal views created by others are never surfaced.

    • To edit:

      Show/Hide

      • Edit filter criteria on a Saved View you created: 'Read Only' or higher level permissions on the project's Photos tool. Creators can always edit their own views.

      • Edit filter criteria on a Project or Company Saved View someone else created: 'Admin' level permissions on the project's Photos tool.

      • Save edits to an existing Saved View ("Update Existing"):

        • 'Admin' level permissions on the project's Photos tool. Admins can update Project and Company saved views; cannot update other users' Personal views (not visible to them).

        • As creators, 'Read Only' and 'Standard' level permissions on the project's Photos tool.

      • Rename a Saved View:

        • 'Admin' level permissions on the project's Photos tool.

        • As creators, 'Read Only' and 'Standard' level permissions on the project's Photos tool.

    • To delete:

      Show/Hide

      • Delete a Saved View you created: 'Read Only' or higher level permissions on the project's Photos tool. Deleting a Saved View never deletes photos. Photos remain in their albums and continue to appear in other view

      • Delete a Project or Company Saved View someone else created: 'Admin' level permissions on the project's Photos tool.

      • Delete another user's Personal Saved View: Admins cannot see other users' Personal views, so they cannot delete them.

    • To sort or order:

      Show/Hide

      • Reorder saved views:

        • 'Admin' level permissions on the project's Photos tool.

        • 'Read Only' or 'Standard' level permissions on the project's Photos tool with the "Reorder Saved Views" granular permission enabled on the permissions template.
Note: The "Reorder Saved Views' granular permission is similar to the existing "Reorder Photo Albums" permission.

    • To take actions for photos within a Saved View:

      Show/Hide

      • Download photos from within a Saved View: 'Read Only' or higher level permissions on the project's Photos tool. This inherits "Download Photos" permission from the project's Photos tool.

      • Email photos outbound from a Saved View: 'Standard' or higher level permissions on the project's Photos tool. This inherits "Email Photos (Outbound)" permission from the project's Photos tool

      • Bulk edit photo descriptions from a Saved View: 'Standard' or higher level permissions on the project's Photos tool. This inherits "Bulk Edit Photo Descriptions" permission. Users with Standard level permissions can only edit descriptions.

      • Mark up a photo within a Saved View: 'Standard' or higher level permissions on the project's Photos tool. This inherits "Mark Up a Photo" permission.

    • To filter or apply / adjust filters within a Saved View (without saving): 'Read Only' or higher level permissions on the project's Photos tool. This is transitory and does not modify the Saved View definition. Available to all users with access to the saved views.
