Change the Status of a Financial Period for Project Status Snapshots (Beta)

Periods for project status snapshots are currently in beta. To enable this feature, join the Budget: Periods on Project Status Snapshots beta program through Procore Explore.

Background

Financial periods allow you to align project status snapshots with your organization's reporting cycles, such as monthly or quarterly accounting periods. Setting a period's status to 'Open' allows team members to assign new or existing snapshots to that cycle, while setting it to 'Closed' locks the period from new entries to preserve historical accuracy. Closing a period does not affect existing data. Closed periods remain fully accessible for reporting, side-by-side comparisons, and portfolio filtering.

Things to Consider

  • Required User Permissions:

    • 'Standard' level permissions or higher on the Project level Budget or Company level Project Status Snapshot tools.

  • Additional Information:

    • Open Periods:

      • You can have multiple open periods simultaneously.

    • Closed Periods:

      • Closing a period makes it unavailable for assignment to project status snapshots. You can still filter snapshots by closed periods and compare them in the Company level Project Status Snapshot tool.

Steps

  1. Navigate to the Company level Admin tool.

  2. Under 'Tool Settings', click Budget.

  3. Click the Project Status Snapshots tab.

  4. Click Financial Periods in the left menu.

  5. In the Financial Periods table, click the caret Icon Solid Arrow Pfcp icon next to a financial year to expand its list of financial periods.

  6. Click the Status drop-down list for the specific period you want to update.

  7. Select Open or Closed to set the desired status for the period.

Note

Financial period statuses roll up automatically to their parent categories:

  • Setting at least one period within a financial year to Open automatically updates the status of the entire financial year (e.g., FY 2026) and its parent group (e.g., Active) to Open.

  • The financial year and parent group status will only display as Closed when all child periods within that year are set to Closed.
