What Document Management configurations are included in Procore Project Templates?

Procore Project Templates allow company admins to standardize Document Management setup across new projects. Applying a template during project creation reduces setup time and enforces consistency across your enterprise.

  • What Document Management components carry over in a Project Template?

    • Saved Collections & Saved Views: All collections and saved views set to "Everyone in the project" access (including column arrangements, filters, sorting, and grouping).

    • Permission Groups & Rules: Custom permission group definitions and permission matrix settings (Upload, Admin, Placeholder, and Document permissions).

    • Document Fieldsets & Attributes: Field configurations (mandatory vs. optional), custom fields, assigned fieldsets, and project-specific attribute label overrides.

    • Naming Standards & Upload Requirements: Naming patterns (field order and separator characters), revision rules, and conditional upload requirements.

    • Workflows & Originators: Default workflow mappings and pre-configured originator lists.

  • What components are NOT included in a Project Template?

    • Files & Placeholders: Actual uploaded documents, file revisions, and placeholder slots.

    • User Assignments: Individual team members are not mapped to permission groups automatically and must be assigned post-creation.

    • Notification Settings: Notification preferences (Document Upload, Document Submission, and Placeholder Notifications) are configured per project.

    • Private Saved Views: Saved views created with "Just Me" access remain private to the source project user.

    • Project-Specific Picklist Values: Local code selections for fields like Functional Breakdown or Spatial Breakdown zones.

  • Can I apply a template to an existing project?
    No. Templates can only be applied during new project creation.

  • If I update a Project Template, do existing projects get updated?
    No. Template updates are not retroactive. Changes to a template only apply to new projects created after the update is saved.

  • Do I need to upload documents to a project before creating saved views?
    No. The document-upload validation requirement has been removed, so you can create and manage saved views on empty projects or blank templates at any time.

  • How do I designate a project as a template?
    To set up or designate a project as a company template, contact your Procore point of contact or Procore Support.
