Create and Configure Project-Level Linear Workflows

Background

Linear workflow templates provide a simple, top-to-bottom step-by-step process for managing tool items directly within Procore tools. Creating linear workflow templates at the Project level allows project administrators to customize step sequences, assignees, and completion timelines for their specific project needs.

Things to Consider

  • Web Only: Designing and configuring workflow templates is available on the Procore web application only.

  • Diagram vs. Linear: Use the Linear format for straightforward, top-to-bottom sequential steps; use the Diagram format for complex workflows requiring conditional branching.

Prerequisites

  • The Workflows tool must be enabled on your Procore account.

  • Workflow Settings: The workflow feature to create/edit project-level templates must be on. This setting is found under Company Level Workflow Settings.

Steps

Create a New Project-Level Linear Workflow Template

  1. Navigate to the project tool you want to configure.

  2. Click the Configure Settings gear icon.

  3. Click the Workflows tab.

  4. Under 'Project Templates', click Create.

  5. In the 'Add a Workflow' window, enter a Name.

  6. Select the Type from the drop-down menu.

  7. Under Format, select Linear.

  8. Click Create.

  9. In the template builder, click Add Step to introduce new steps.

  10. Define the Step Name, select the Item Status, choose the Assignee(s), and set the Days to Complete.

  11. Optional: Select a user from the Workflow Manager drop-down menu to manage the workflow.

  12. Click Save.

Clone a Company Workflow Template to the Project Level

  1. Navigate to the project tool's Workflows tab.

  2. Under 'Company Templates', locate the workflow template you want to copy.

  3. Click the Clone for project icon.

  4. Modify the step names, assignees, or step sequence as needed.

  5. Click Save.
