About the Modernized Submittals List View Beta

Overview

The Modernized Submittals List View transforms the Submittals tool from a static log into a dynamic, customizable command center. Built to maximize efficiency for submittal logs of any size, this update gives you complete control over how you organize and access your data. By combining advanced filtering, grouping, and flexible layout customization, you can tailor the list view to fit your exact business needs and streamline everyday workflows.

Beta Participation

  • You must first enroll in the Submittals Modernized List View through Procore Explore.

  • From the Submittals list view of your project, toggle the Beta Items List button to the ON position to enable the beta.

Things to Consider

Required Permissions for Saved Views: Show / Hide Details

  • To create, edit, view, or delete Personal Views: 'Read Only' or higher level permissions to the Project level Submittals tool.

  • To create, edit, or delete Project Views: 'Admin' level permissions to the Project level Submittals tool.

  • To create, edit, or delete Company Views: 'Admin' level permissions to the Company level Admin tool.

  • To view Project or Company Views: 'Read Only' level permissions or higher to the Submittals tool.

General Tool Permissions: Show / Hide Details

  • Read-Only Users

    • Can view the list, status indicators, and the workflow panel.

  • Standard Users

    • Edit submittals where designated as the Submittal Manager.

    • Respond to workflows when they are the current "Ball in Court" user.

    • Access to bulk tools is restricted unless granted specific Granular Permissions via a company template.

  • Submittals and Company Admin Users

    • Perform project-level mass updates, including delivery dates, packages, and workflow user replacements.

Submittals List View Walkthrough

Navigate the Beta List View
Show / Hide Details

When you open the Submittals tool and land on the Items tab, you will notice a cleaner, more responsive layout.

The Search Bar

Located at the top of the list, use the Search Bar to instantly find submittals by entering text, submittal numbers, or titles.

Table Settings (Display & Columns)

  1. Click the configure Icon Ag Grid Table Filter Menuicon to open Table Settings.

  2. Select Small, Medium, or Large to adjust font size and row padding.

  3. Toggle a column ON to show it or OFF to hide it.

    1. Some columns are locked and can't be adjusted.

  4. Use Show All to enable every column or Reset to Default to return to the original layout.

Tip

To rearrange your table layout, simply click and hold a column header, then drag it left or right to your desired position. Procore will automatically snap the column into place. Remember to save your view if you want to preserve this layout for future sessions!

Create a Saved View
Show / Hide Details

  1. Click the Views button to open the Saved Views panel.

  2. Click Create.

  3. In the pop-up window, enter:

    • Name: (Required) A clear title for the view.

    • Description: (Optional) Context for what this view is for.

    • View Level: Choose Personal, Project, or Company.

    • Click Create.

Note: Legacy tabs for Packages, Spec Sections, and Ball in Court are now located in the Saved Views panel.

Filter the Submittals List View
Show / Hide Details

  1. Click the Filters button to open the filter panel.

  2. Select your criteria (e.g., Status, Spec Section, Responsible Contractor, Ball in Court, or Dates).

  3. Click Apply.

    • To clear: Click Clear All Filters at the top of the panel or click the X to close.

Organize Submittals List View Data
Show / Hide Details

  1. Click the Select a column to group dropdown at the top of the list.

  2. Choose an attribute (e.g., Spec Section or Status) to nest submittals under those headings.

  3. Click Reset to clear the grouping.

Overdue Indicators
Look for the updated styling on Overdue items. These indicators now provide more contextual information at a glance to help you prioritize your follow-ups.

Row-Level Actions

Every submittal row features quick-action icons for immediate tasks:

  • Click the Edit icon to edit the individual submittal record.

  • Click the Workflow icon to trigger the Workflow Area at the bottom of the screen to view workflow history or respond.

  • Click the Document icon to instantly generate a PDF of a specific submittal.

Bulk Actions

Update many records at once using the multi-select checkboxes on the left of the list.

Bulk Editing Fields

  1. To select multiple submittals, click the empty checkbox above all of your Submittals.

  2. Click the Edit icon.

  3. The Edit Values panel displays.

  4. You can update various Submittals fields such as Spec Section, Submittal Package, Confirmed Delivery Date, Actual Delivery Date, and etc.

  5. If any edits fail, the system will provide a Failed Items list for you to review and correct.

    • Note: Bulk editing of Custom Fields is not currently available.

Bulk Workflow Management

  1. To select multiple submittals, click the empty checkbox above all of your Submittals.

  2. Click Workflow. Choose from the following:

    • Apply Workflow

    • Replace Workflow User

      • Note: Only applies to Pending steps.

    • Remove Workflow

      • Note: Only available for items in Draft status
