View Markups for Specifications
Background
Procore’s Specifications tool now includes the Unified Viewer markup toolbar on the web, enabling teams to annotate PDF files using private or public layers. While markups are currently viewable in read-only mode on mobile, permissions can be configured to let users manage public markups and track document downloads.
Things to Consider
Steps
To add markups to a specification section in the viewer:
Open the specification section in Procore's PDF viewer.
Click Add Markup in the top navigation bar to open the vertical markup toolbar.
Note: The markup tools open as a floating vertical panel on the right side of the viewer. You can click and drag the handle at the top of the panel to reposition it anywhere across the document. When docked, its position automatically adjusts relative to open side panels (such as Markups or Search).Use the floating vertical toolbar to add shapes, text, callouts, or measurements to the document. When adding measurements, click Calibrate in the Scale modal to define a custom scale by dragging across a known distance on the document, or choose a preset scale.
Open the Markups
panel on the left side to manage your markup layers:
Note: Opening side panels automatically shifts the floating vertical toolbar to keep it fully visible on screen. My Markup (Private): Markup creation defaults to a new private group unless you select otherwise. Markups added here are saved as private and are visible only to you, though all users with access to a document have access to private markup functionality.
Public Markups: Move or publish markups to the public layer so they are visible to all users with permission to view the specification. Private Markup groups can be promoted to a public group by clicking and dragging a group or using the ellipsis
icon menu on the group you wish to promote.
Note: If a specification section contains markups imported from a Bluebeam Studio session, expand the Bluebeam section in the Markups side panel to toggle layer visibility and view author attributions. Imported Bluebeam markups are public and read-only.
To download a Specification from the viewer:
If you are viewing a specification section in Procore's PDF viewer, you can download the document directly with or without markups.
Open the specification section in the viewer.
Click Download in the top navigation bar.
Select one of the following options:
Download with Markup: Downloads the specification PDF including all visible public markups and imported Bluebeam Studio markups, as controlled by the visibility eye
icon symbol on the Markup Groups, regardless of any active markup filter settings. Download without Markup: Downloads the original specification PDF without any markups.
In the viewer, you can use keyboard shortcuts (such as pressing Left or Right arrow keys to change pages or Z to zoom) to navigate the document. Press Shift + ? to view the full hotkey menu. Click the keyboard icon in the bottom right corner (or press ?) to display the full keyboard shortcuts menu. See What keyboard shortcuts are available in the Unified Viewer?
