Link QuickBooks® Desktop Jobs to Existing Procore Projects

Background

Linking an ERP project to an existing Procore project establishes a primary data connection between the two systems. This link requires the Procore project to use an ERP synced cost code list to map data accurately. After connecting the projects, you can subsequently sync financial items to maintain data integrity across both systems.

Things to Consider

  • Required User Permissions on the company's ERP Integrations tool.

  • Additional Information:

    • 'Job' in QuickBooks® Desktop refers to 'Project' in Procore.

    • The name of the job in QuickBooks® Desktop is used as the Procore project name.

    • TheQuickBooks® Desktop project name must be 41 characters or fewer, including spaces.

    • Your new project must be marked as 'Active' in Procore.

    • You must select the 'QuickBooks® Desktop Standard Cost Codes' list for use on your new project.

Prerequisites

  • The Project must be unsynced and have the ERP-sync this Project setting enabled.

  • The Project must use the QuickBooks® Desktop standard cost code list.

Steps

  1. Navigate to the company's ERP Integrations tool.

  2. Click the Jobs tab.

  3. Under the 'Filters' menu, click Ready to Import.

  4. Locate the job that needs to be imported to Procore.

  5. Under 'Import Method', select Link to Existing Project.

  6. Go to 'Project Criteria' and select the Procore project you want to link to your ERP project

  7. Find an ERP project you want to link and click Link to Existing Project.

  8. Click Link.
