Capital Planning - (Beta)

The Capital Planning (Beta) content is restricted to beta participants.

The Capital Planning table provides a centralized view of both active and concept projects, organized by their assigned programs. This tool allows you to manage high-level budgets, track project stages, and forecast monthly spending across your entire portfolio.

Things to Consider

  • The table displays projects in all stages from 'Concept' through 'Course of Construction'. Closed, archived, and inactive projects are not shown.

  • To view or edit data, ensure you have the appropriate 'Standard' or 'Admin' level permissions on the Company level Home page.

  • The Remaining column is automatically calculated as $ Planned Amount - $Job to Date Costs - $Sum of Monthly Forecasts.

  • All budget values are displayed in Arabic numerals. Negative values are indicated by parentheses. For example, ($10,000.00).

Prerequisites

Navigate to the Capital Planning tab located next to the Portfolio tab on your company Home page.

Steps

Set a Planned Amount

  1. Locate the project or program row you want to modify.

  2. Click the Planned Amount cell.

  3. Enter the budget value.

    • Active Projects: If no amount is set, Procore defaults to the 'Revised Budget' from the project's Budget tool.

    • Programs: The Rollup and Variance columns will update automatically based on the project budgets beneath the program.

Create Detailed Budget Line Items

  1. Click the Planned Amount for a specific project.

  2. Select High Level Budget Items.

  3. Add line items. For example, Hard Costs, Soft Costs.

  4. Choose one of the following methods to enter values:

    • Enter a lump sum amount.
      OR

    • Enter a quantity and unit cost to perform a unit-and-quantity calculation ($quantity \times unit\ cost$).

  5. Click Save to update the total Planned Amount.

View Budget Data for Active Projects

  1. Review the read-only columns pulled from the Procore Standard Budget View:

    • Original Budget

    • Revised Budget

    • Job to Date Costs

    • Forecast to Complete

  2. Optional: To view how a column is calculated, hover over the column header to see a tooltip.

  3. Optional: Click the Budget icon to open the project's Budget tool in a new window.

Enter Monthly Forecasts

  1. Scroll to the Monthly Forecast columns (July 2026 – June 2031).

  2. Click into the cell for the specific month and project you want to forecast.

  3. Enter the forecasted spend amount.

    • The Remaining column will update to show unallocated funds.

    • Program rows and the Grand Total row will roll up these forecasts automatically.

Note: Use the Configure panel to turn on additional columns from your Procore Standard Budget View for more comprehensive reporting.
