Export Assets from the Project level Assets Tool
Background
You can export assets from from Project level Assets tool.
Export to a zip file to include attachments, related item details, and change histories. Or, for reporting or offline reviews, you can export asset data to Excel. This spreadsheet format also lets you make bulk updates externally and re-import them seamlessly back into the system.
Things to Consider
ZIP File Download
You can export the Table of Contents, Attachments, Related Items, and Change History.
When the export is complete, a download link will appear in the Export Logs panel. An email notification will also be sent once the export is ready
Excel Download
The download link remains valid for 7 days.
All standard and custom fields currently visible in the Asset Register grid.
Column order, sorting, and applied filters matching the current UI configuration.
Excel exports support a maximum of 200,000 rows per export.
For exports containing 3000 or fewer records, the Excel file downloads automatically in the same browser tab. For larger exports, an email notification containing a download link is sent once the export is ready.
Steps
Navigate to the Project level Assets tool.
Configure your view to show all the data that you want to export.
Tip
When exporting to Excel for bulk updates, make sure to include all required fields for your asset types in your column configuration. The system needs these same required fields to successfully process the file when you re-import it.
Click the vertical ellipsis
and select Export Assets.
Enter the Export Name.
Select the file output.
Export to Excel
Export to ZIP
Select to group the export by Asset Type, Location, or Trade.
If you select multiple groupings, use the reorder
icon to drag them into priority order.Select which items you want to include in the export:
Table of Contents – Provides an overview of the number of assets included.
Attachments – Includes all attachments linked to the assets.
Related Items – Includes related items, RFIs, Submittals or other linked records.
Change History – Includes the full change log for each asset.
Click Export.
Excel - The Excel file is automatically downloaded to your computer. For larger exports, an email notification containing a download link is sent once the export is ready.
ZIP File - When the export is complete, a download link will appear in the Export Logs panel. An email notification will also be sent once the export is ready.
Navigate back to the Project level Assets tool.
Click the vertical ellipsis
next to the 'Import' button and select Export Logs.Click the download
icon to download the ZIP file to your computer.
