Best Practices for Applying Action Plan Template Changes

Updating a template lets you push improvements to hundreds of active plans at once. Because changes can affect live work and clear certain signatures, using these best practices will help keep your project running smoothly without surprising your team.

Things to Consider

  • Required User Permissions:

    • Admin level permissions on the Company Level Admin Tool (to manage project templates)

    • Standard or Admin level permissions on the project's Action Plans tool (with permission to edit action plans).

  • Scope: Applies only to project-level Action Plan templates.

  • Limit: Updates process up to 1,000 eligible open/draft plans at once (processed starting from the most recently created).

  • Signature Impact: Approver and Completed Action Plan Receiver signatures are cleared on updated open plans and must be re-signed.

  • Closed Plans: Closed plans are never modified.

Prepare Your Team First

  • Give your team a heads-up: Let Plan Managers and assignees know before you update a template. Tell them what is changing and remind them that plan approvals will need to be signed again.

  • Check for items you plan to delete: Updating a template will apply edits to open items, even if they have progress. However, if your template edits include deleting items or sections, Procore will skip the deletion on any item that already has progress (signatures, attachments, or a non-default status). To remove those items, field teams must clear the progress first.

  • Pick a quiet time to update: Apply changes when the team isn't actively working in the tool to avoid confusing anyone while they are trying to sign off on tasks.

What Counts as an Item 'With Progress'?

An item in an open plan is treated as having progress if:

  • Its status is anything other than 'Open'.

  • It has at least one signature captured.

  • It has at least one attached record.

Steps to Apply Template Changes

  1. Navigate to the project's Action Plans tool.

  2. Click the Action Plans Settings Icon Settings Gear Android icon.

  3. Click the Templates tab.

  4. Select the project-level template you want to edit.

  5. Make necessary updates to the header, sections, items, or requirements.

  6. Click Save.

  7. Select one of the following options in the 'Save Changes?' confirmation window:

    • Save Template: Saves edits to the template only (existing plans remain unchanged; future plans will use the updated template).

    • Save and Update Action Plans: Saves edits to the template and applies them immediately to all eligible open/draft action plans.

  8. Click Save and Update Action Plans.

  9. Review the Bulk Edit Report (.xlsx) attached to the completion email sent to your inbox to verify field updates and inspect skipped items.

  10. Re-collect required plan-level signatures from designated Approvers and Completed Action Plan Receivers on updated plans.

Header Fields

Updates: Type, Privacy, Plan Manager, Approvers, Receivers.

(Clears Approver/Receiver signatures so they can re-sign).

Item Content

Updates: Item/Section Titles, Criteria, Dates, Assignees, References.

Preserves: Verification methods for assignees who already signed.

Record Requests

Updates: Adds new requests or updates existing ones.

Preserves: Attachments already uploaded (deleting a request will not delete uploaded records).

Adding Steps

Updates: Places new items in the correct order relative to existing steps.

Deleting Steps

Skipped if progress exists: Deletes empty open items; skips items with signatures, attached records, or status changes.

Reordering Steps

Skipped if progress exists: Reorders untouched items; leaves items with active work in their current position.

Review Your Results

  • Check your email for the summary report: After you apply changes, Procore emails you a spreadsheet report (Bulk Edit Report).

    • Look at the Summary tab to make sure all your plans were updated.

    • Look at the Field Changes tab and filter by Skipped to see which items were left alone because work had already started.

  • Watch out for the 1,000-plan limit: Procore can update up to 1,000 plans at one time (starting with the newest). If you have more than 1,000 active plans, check your report to see if you need to run the update again for older plans.

  • Verify using Change History: You can open any individual plan and check its Change History tab to see a clear list of every update made by the template.
