Manage SharePoint Connections in the Integration Manager in the Document Management Tool

As project collaboration expands across multi-company teams, managing external data sources becomes critical. The Integration Manager provides Project Admins with centralized visibility and administrative control over all Microsoft SharePoint tenant connections within a project's Document Management tool.

• Required User Permissions: 'Admin' level permissions on the Project-level Admin tool.

• Prerequisites:

  • The Document Management tool must be enabled on the project.

  • The SharePoint integration must be enabled for your account in Procore Explore.

• Additional Information:

  • Projects support up to five (5) active SharePoint tenant connections.

  • Disabling a connection halts new file uploads/linking from all sites under that tenant URL.

  • Disabling a connection does not delete or remove files previously uploaded from that SharePoint site; existing files remain intact in the project.

  • Disabled connections remain listed on the Integration Manager table with an Inactive status tag and can be re-enabled at any time by a Project Admin.

View Active and Inactive SharePoint Connections

1. Navigate to the project's Admin tool.

2. Under Project Settings, click Integration Manager.

3. View the SharePoint Connections table, which displays:

   • Connection: The baseline URL/host of the connected SharePoint tenant.

   • Status: Current state of the connection (Active or Inactive).

   • Created By: The user's name and company who established the connection.

   • Date Connection Established: The date the connection was established.

Disable a SharePoint Connection

1. Locate the active SharePoint connection you wish to turn off.

2. Click Disable in the connection's row.

3. On the Disable this connection? modal, read the confirmation notice:
   Disabling this connection turns off syncing for every SharePoint site linked under [URL]. You can re-enable it at any time.

4. Click Disable.
   The status changes to Inactive and users attempting to link files from this site will be blocked and receive a message to contact their Project Admin.

Re-Enable a SharePoint Connection

1. Locate the inactive SharePoint connection on the Integration Manager page.

2. Click Enable in the connection's row.

3. On the Enable this connection? modal, click Enable.
   The status changes to Active and users can resume linking files from that SharePoint site.
