  • Who can view and export workflow history?
    Access to the full-page workflow history view and all export actions (single and bulk) requires the View Workflow History permission in Document Management. If a user selects multiple documents for a bulk export but lacks permission for specific items, those unauthorized items are skipped during the export process.

  • What is the difference between Workflow History Export and Document with Markups Download?

    • Workflow History Export: Generates structured event logs (PDF or CSV) detailing step progress, actors, comments, timestamps, attachments, and pin links.

    • Document with Markups Download: Downloads the actual document PDF files with visual markup layers applied (Public, Private, or Workflow).

  • How many documents can I export at once during a bulk action?
    You can select and export up to 300 documents per bulk action. If your selection exceeds 300 items, the bulk download action will be disabled until you reduce your selection count.

  • Can I customize filters and columns during a bulk workflow history export?
    No. During bulk exports, column and filter adjustments are disabled. Bulk exports automatically include all workflow fields and data including comments and attachments.

  • How do markup permissions work for private markups during bulk downloads?
    When downloading documents with Private Markups, the exported PDFs will only contain private markups created by your own account. Private markups created by other users will never appear on your downloaded files.

  • Are multiple markup layers consolidated into a single PDF download?
    No. Public, Private, and Workflow markups are processed separately. If you need all three markup layers, you must perform separate downloads for each type.
